Program Associate, Health Care Foundation of Greater Kansas City

The Program Associate is responsible for providing project management and administrative support as needed to Program Staff in the development, implementation and oversight of HCF's programmatic work. This role does not require program area expertise, but does require strong facilitation skills, a willingness to learn about issue areas, and an embrace of servant leadership philosophy.

RESPONSIBILITIES:

Provide support to Program Staff as assigned by supervisor, to help ensure program goals are met, such as:

  • Coordinate the Foundation Defined Grant (FDG) process for all Request for Proposals - (RFPs) from beginning to end including proactively understanding the calendar, coordinating the pre-proposal process, scheduling all meetings, ensuring POs have time to review proposals, and coordinating with the Grants Administration team, the events planner and communications to ensure process runs smoothly. Participate in the assessment of lessons learned and continuous quality improvement activities.

  • Assist the development and implementation of program timelines to ensure timely completion of activities and deliverables.

  • Coordinate, conduct and participate in programmatic meetings.

  • Assume primary responsibility for taking and transcribing team meeting minutes. Capture meeting action items and details. Responsible for follow-up with program staff pre and post meeting to promote completion of assigned tasks.

  • Assist Program Teams in supplying content for and editing of PowerPoint and other presentations and internal/external documents in collaboration with the Communications Department.

  • Perform general Foundation support activities and carry out special projects as required.

  • Operate as a team member in a small office setting. Assume a share of office functions which require “all-hands-on-deck.”

EDUCATION, EXPERIENCE & QUALIFICATIONS:

  • Excellent oral and written communications skills, including writing, editing and coordinating the distribution of materials to internal and external stakeholders.
  • Strong organizational, project management and administrative skills.

  • Flexibility and ability to multi-task and prioritize. 

  • Extensive experience with a wide variety of word processing, graphics, and database software packages, including Microsoft Word, Excel, PowerPoint, and Outlook.

  • Bachelor’s degree required. Coursework in public health, social welfare, education, or management is a plus.

  • A minimum of five years of relevant work experience, preferably in educational, non-profit or foundation sectors, in a fast-paced service delivery or grant-making environment where he/she organized, analyzed and synthesized information.

  • A sense of humor, flexibility, and the ability to work as a team member and contribute to a collegial, respectful, and supportive office environment.
